Purpose
University archives (UA) are the bridge between the past and the present and serve as a beacon for highlighting the contribution of academic institutions to society. Although the UA topic was ...introduced and formalized in the 1950s, the scientific research interest has increased significantly in the past two decades. This paper aims to provide insights into the UA research topic during the previous 15 years.
Design/methodology/approach
The combination of two well-established methods for performing literature review was deployed, aiming to identify, select and assess the research documents. Based on the selection criteria, 49 documents presenting research efforts around the UA topic were finally examined from the Scopus citation index. The selected studies have been classified into three main topics: strategic management of UA and the derived challenges, the educational contribution of UA and the strategic information systems for UA.
Findings
Some of the main findings are the lack of well-defined administrative policies, the low level of awareness and archival consciousness within the universities, the inadequacy of university archivists’ educational and training background, the need to use UA for building relationships with alumni and society, and finally, the need for metadata standardization by the UA management systems.
Originality/value
As a literature review around UA has not been conducted before, the reader will gain insights into the methods and research designs that other scholars had already applied to designate useful findings and results.
The University of Illinois developed an open-source collections management software program and in August 2006 began making it freely available to archivists, curators, and special collections ...librarians. This program gives those with limited technological resources and knowledge the ability to easily mount a variety of on-line access tools to their historical collections using ISAD(G)1 and DACS2-compliant standards for description. Archon was created with robust interoperability using a single web-based platform for the management of collections of documents and artifacts held by archives, museums and libraries. It was developed as a “plug and play” application for easy installation on any web server or on any web hosting service. It uses common web-browser input mechanisms and SQL data storage to produce dynamic data output in the form of searchable collections websites, MARC bibliographic records (Smiraglia 1990), EAD finding aids (Pitti 268-293), and long-term preservation TXT data files. The article discusses the design concepts that lead to the University of Illinois’ creation of Archon, the challenges faced by the archives community when providing descriptive access to large bodies of historical papers and records, and describes Archon’s public and administrative interfaces as well as future plans for additional developments to this software program.

The archival community has developed content and data structure standards to facilitate access to the diverse and unique sets of archival records, personal papers, and manuscript collections that are ...held by archival repositories and special collections libraries. However, these standards are difficult for archivists to use and are often implemented in ways that negatively affect materials-handling workflows, depriving archival users of the best possible access to the totality of materials available within an individual repository. The authors propose that archival descriptive problems can be addressed by implementing a web/database application that is tailored specifically to archival needs and can be implemented with little technical knowledge. This paper describes the system architecture of one such tool, the Archon software package, which was developed at the University of Illinois at Urbana-Champaign. Archon automates many technical tasks, such as producing a searchable website, an EAD instance or a MARC record. Although the system utilizes sophisticated algorithms and optimizations, it is easily extensible because most development takes place in an easy-to-use, object-oriented environment.

Encoded Archival Description (EAD) provides a flexible metadata infrastructure that, when coupled with World Wide Web functionality, allows archivists to move beyond simply replicating the physical ...form of the paper finding aid in the online environment and fundamentally re-conceptualize how archival information systems can facilitate popular use. This paper reviews the descriptive imperatives that have led to the traditional physical and intellectual form of the finding aid, and how those imperatives can be addressed by EAD. It then discusses some of the needs that diverse user practices and cognitive approaches bring to the design of discovery and retrieval in EAD-based archival information systems. Finally, it adapts and extends the search capabilities delineated by Bates for a "berrypicking" search interface, and suggests ten strategies to enhance browsing and retrieval in EAD-based archival information systems.

Ai the beginning of 19% the means of reference to the Public Record Office's 150km of records dating back to the I I th century were, as far as the user was concerned, all on paper and mainly ...available on a single site. This article traces the development since then of the Public Record Office's hierarchical Internet catalogue (PROCAT) and in particular the role that EAD has had in this process. Two major EAD projects are described with particular emphasis on how the developing EAD standard was utilized in the context of a large national archive. Aspects of EAD relating to data exchange, data preparation, standardization and publication are all discussed as are its relationship to emergent XML technologies. Finally a role for EAD within PROCAT is described even though it is in essence a traditional relational database.
