As technology advances, businesses are turning to specialists for assistance with complex data management challenges. One solution that can significantly improve organisational efficiency is document ...management software. Document Management Systems (DMS) are engineered to handle unstructured data, including files, spreadsheets, text, images, multimedia data, and compound documents. They function like a library or catalogue, providing businesses with an efficient and organised way to manage their documents. This comprehensive document is organised into sections covering various aspects of DMS. The introduction briefly overviews DMS, highlighting its key definitions and features and how it can effectively address organisational challenges. Section Two goes into greater detail about the critical elements that constitute DMS. It begins with the process of converting physical documents into digital formats. In Section Three, LogicalDOC, an open-source DMS, is presented, highlighting its key features: enhanced efficiency and productivity, streamlined communication and collaboration, and automation capabilities, resulting in significant time-saving.
Recent trust research in the information systems (IS) field has described trust as a primary predictor of technology usage and a fundamental construct for understanding user perceptions of ...technology. Initial trust formation is particularly relevant in an IS context, as users must overcome perceptions of risk and uncertainty before using a novel technology. With initial trust in a more complex, organizational information system, there are a number of external determinants, trusting bases, that may explain trust formation and provide organizations with the needed levers to form or change individuals’ initial trust in technology. In this study, a research model of initial trust formation is developed and includes trusting bases, trusting beliefs, trusting attitude and subjective norm, and trusting intentions. Eight trusting base factors are assessed including personality, cognitive, calculative, and both technology and organizational factors of the institutional base. The model is empirically tested with 443 subjects in the context of initial trust in a national identity system (NID). The proposed model was supported and the results indicate that subjective norm and the cognitive–reputation, calculative, and organizational situational normality base factors significantly influence initial trusting beliefs and other downstream trust constructs. Factors from some of the more commonly investigated bases, personality and technology institutional, did not significantly affect trusting beliefs. The findings have strategic implications for agencies implementing e-government systems and organizational information systems in general.

Preprocessing is one of the key components in a typical text classification framework. This paper aims to extensively examine the impact of preprocessing on text classification in terms of various aspects such as classification accuracy, text domain, text language, and dimension reduction. For this purpose, all possible combinations of widely used preprocessing tasks are comparatively evaluated on two different domains, namely e-mail and news, and in two different languages, namely Turkish and English. In this way, contribution of the preprocessing tasks to classification success at various feature dimensions, possible interactions among these tasks, and also dependency of these tasks to the respective languages and domains are comprehensively assessed. Experimental analysis on benchmark datasets reveals that choosing appropriate combinations of preprocessing tasks, rather than enabling or disabling them all, may provide significant improvement on classification accuracy depending on the domain and language studied on.
The topic of the article addresses the management of the document management system (DMS), which represents one of the important steps for organizations to speed up the implementation of business ...processes, achieve better control over documents, and ensure safer operations. When implementing and using DMS, the importance of the organization’s maturity shall not be forgotten, as it gives the organization a framework to evaluate and improve the overall effectiveness and efficiency of the organization’s DMS, which can contribute to better decision-making and increased productivity. On the other hand, sustainable-oriented organizations are likely to show interest in choosing, implementing, and using DMS. In the article, the impact of an organization’s maturity and the role of sustainability on the DMS lifecycle are researched. Results are presented based on a case analysis of Company X. Supporting the case analysis, structured interviews with the project leader on the clients’ and the project leader on the providers’ side have been performed, which shall give a deeper insight into DMS implementation and the importance of sustainability and organizational maturity, resulting in more successful DMS implementation and use.
Document management system is an essential approach that should be managed well to ensure an effective and faster overall working process in an organization. Hardcopy documents has been one of the ...items that most organizations need to manage in a safe and secure manner due to the high dependency on most of their working procedure especially in government organizations. Hence, we proposed a new framework to improve the weaknesses of the existing document management procedures in government organizations. Our proposed framework integrates the implementation of an NFC system in this research due to its secure short - range communication, and the peer-to-peer communication capability in most mobile devices. Besides that, most existing government organizations within Malaysia could easily implement such technology for their internal usage as this technology is cost effective due to its availability on existing mobile devices on most Android based devices.
► In this study we study IT professionals’ perceptions and attitudes of cloud computing adoption in Taiwan. ► The findings of the study suggest that compatibility with company's business model and ...policy and customers’ demands are the main concerns. ► Relative advantages of cloud computing are not obvious to IT professionals therefore they are hesitant to adopt cloud solutions. ► Successful business cases and models will encourage companies to adopt cloud computing. ► It is the cost of adoption that concerns IT professionals not cost savings that can be made through adoption as suggested by the literature.
Cloud computing is a current trend that reveals the next-generation application architecture and it is estimated that by 2013 the cloud market will have reached $8.1bn. While cloud services such as webmail, Flickr and YouTube have been widely used by individuals for some time, it not until relatively recently that organisations have began to use cloud services as a tool for meeting their IT needs. This study aims to investigate how cloud computing is understood by IT professionals and the concerns that IT professionals have in regard to the adoption of cloud services. The study was carried out in Taiwan and used a survey by interview approach to understand IT professionals’ understandings and concerns about cloud computing. The findings of the study suggest that while the benefits of cloud computing such as its computational power and ability to help companies save costs are often mentioned in the literature, the primary concerns that IT managers and software engineers have are compatibility of the cloud with companies’ policy, IS development environment, and business needs; and relative advantages of adopting cloud solutions. The findings also suggest that most IT companies in Taiwan will not adopt cloud computing until the uncertainties associated with cloud computing, e.g. security and standardisation are reduced and successful business models have emerged.
A document management system (DMS) is required to handle any documents within an institution efficiently. However, several important features are lacking in the current DMS, such as security and ...social media features. This paper proposes a new solution to tackle the issues by developing a new document management system with security and social media features called DocManS. The development process and usability evaluation by users are presented in this paper. The usability assessment is performed with the use of the System Usability Scale (SUS) framework. The results show that the current version falls within the B range of the SUS framework and several enhancements for better usability in terms of social media sharing and privacy are recommended.

As the volume of available information increases, individuals and organisations become overwhelmed by the plethora of information. This can reduce productivity and performance, hinder learning and innovation, affect decision making and well-being and cost organisations large amounts of money. This paper develops a new theory-based model of factors affecting information overload and provides a formula for calculating the extent of overload, potentially of use as a diagnostic tool supporting individual or organisational development.
Two methods for categorising factors that contribute to the overload phenomena are introduced. The first method separates those factors based on their direct or indirect effect on information overload, called intrinsic and extraneous factors respectively. The second method divides factors based on whether or not the factor increases or decreases information overload likelihood and tags those factors in terms of ‘For’ or ‘Against’. These new methods for categorisation not only assisted in the development of the conceptual model and in creating the formula, but could be used in other aspects of information overload research, such as finding and evaluating countermeasures to information overload. The model and the formula presented in the paper provide a significant contribution to the information overload body of research.
One of the key activities of any company is the management of documents, which are created on a daily basis. Classic document management cannot follow the needs of the market for companies with a ...desire to be agile and modern. Therefore, companies need to offer employees a solution that allows them to carefully store and archive documentation, while at the same time giving them enough time to perform their main daily tasks. Electronic management of documents not only influences companies' workflows, savings and adaptions to market needs but also influences their digital transformation. It is also necessary to consider the influences on the environment. The influence of the production and use of paper in daily business has burdened the environment a lot in the past and it is about time that this matter is addressed. Implementation of a document management system (DMS) is now almost a must-have for companies wanting to be competitive in the market and with a desire to digitalise its processes, and is also surely a good step in the right direction for the environment. The aim of this paper is to define the advantages of disadvantages of a DMS as part of companies' digital transformation as well as to provide an overview of the process of implementation and to analyse future trends and predictions in this field. For better understanding, the authors also included some examples of the implementation of a DMS in Slovenian companies.
